Calendar & Tasks

Who is on site, and what is overdue.

A shared week that shows the whole team's jobs at once, and a task list that goes red rather than quiet. Every booking carries the customer it belongs to.

The shared week

Availability is a fact about the business, not about one diary.

Double-booking a Thursday is not a scheduling problem, it is a visibility problem. The team strip is there so the answer is on screen before you promise anything.

The whole team at once

Everyone's jobs on one week. Who is out, where, and for how long, before you commit to a date on the phone.

Events carry the customer

A survey is attached to its deal. Opening the event tells you who, where and what was agreed last time.

Syncs both ways

Bookings appear on your phone; personal commitments block out time here. One calendar, two places to look at it.

Tasks

Overdue should be uncomfortable.

A task past its date is counted in the sidebar in red, every time you look at the app. Not a badge that fades, not a digest at 7am, but a number that stays until someone does the work.

  • Overdue counted in red in the header and in the sidebar, workspace-wide
  • Tasks created automatically from calls and new enquiries
  • Assigned to a person, sorted by what is most urgent
  • Every task carries the deal it came from, not just a name

Told, not buried

The things that cannot wait for you to go and look.

Being assigned a task, being mentioned in a note, a deal moving stage: these arrive live rather than sitting in a list until somebody opens it. Unread mail is work waiting and is coloured as such; overdue work is a failure and is coloured as one.

  • Mentions in notes, so asking a colleague actually reaches them
  • Task assignment and deal movement, filtered by category
  • Delivered live in the app, and by email on the events you choose
  • Read state shared, so a handled item is handled for everyone

Joined up

Booked in means moved on.

Putting a job in the diary is a stage change, not a separate act of admin. The deal moves, the customer gets the confirmation, and the week fills up in the same motion.

  • Booking an event moves the deal to the right stage
  • Confirmation sent from the record with your signature
  • The job shows against the customer for whoever picks it up
  • Nothing typed twice

Notes

Four engineers plus Daniel. Enquiries currently arrive in three places, quotes live in a spreadsheet. Two jobs lost in June to missed follow-ups.

Where it is used

Mostly not at a desk.

Phone first, properly

The week, the day and the task list all work on a phone screen, not a shrunken desktop layout with the important column cut off.

Tick it from the van

Mark the job done where you finished it. The deal, the customer and the invoice trail all update from that one action.

Told once, quietly

New enquiries and reassignments arrive as a notification, not a stream. Interruptions should be rare enough to be worth reading.

Questions answered

About the calendar and tasks.

Does it sync with the calendar I already use?

Yes. Your existing calendar connects both ways, so a survey booked in Bloc CRM appears on your phone, and a dentist appointment blocked out on your phone stops someone booking a job over it.

Can I see the whole team's availability?

Yes. That is what the strip along the top of the week is for. Before you promise a customer a Thursday, you can see who is already out on site that Thursday.

What makes a task overdue?

Its due date passing while it is still open. Overdue work is counted in the sidebar in red, because a task nobody has done is a failure rather than a notification, and it should not look like one.

Do events link back to the customer?

Yes. A survey, a call-back or an installation carries the lead, deal or job it belongs to, so opening the event tells you who, where and what was agreed, without opening three other screens first.

Does it work on site, on a phone?

Yes. Every screen is built for phone, tablet and desktop, which matters here more than anywhere else: the people using the calendar are usually the ones not at a desk.
